Grooming salon tax deductions: the operator’s field guide.

A plain-English walkthrough of the write-offs most grooming and boarding owners miss — and the records your software should already be keeping for you.

Most independent grooming and boarding owners overpay at tax time — not because they cheat, but because they never tracked the deductions they were legally owed. This guide walks through the deductions that apply to nearly every grooming, boarding, and daycare operation, what records you need, and how to stop leaving money on the table. None of this is formal tax advice — confirm specifics with your CPA — but it will tell you what to ask about.

Supplies and consumables

Shampoo, conditioner, cologne, bows, bandanas, blades, scissors, brushes, dryers, towels, cleaning chemicals, kennel bedding, treats — if it gets used up running the business, it is generally deductible in the year you buy it. The trap is that groomers buy supplies in cash or on a personal card and never log them. A year of un-logged supply purchases can easily be several thousand dollars of missed deductions.

The fix is boring but it works: run every purchase through one business account, and let your point-of-sale and expense records do the categorizing. When your software already tags each transaction, your CPA is not reconstructing the year from a shoebox of receipts.

Vehicle and mileage

If you drive for pickups, supply runs, bank deposits, or mobile grooming, those miles count. You choose either the standard mileage rate or actual expenses (gas, insurance, maintenance, depreciation) — not both. For most salon owners the standard rate is simpler and often larger. Mobile groomers running a built-out van usually do better with actual expenses because the van itself depreciates.

Either way, the IRS wants a contemporaneous log: date, miles, and business purpose. A mileage app or a simple notebook in the van is enough. Commuting from home to your one fixed shop does not count; trips between job sites and errands do.

Home office and rent

If you do your books, scheduling, and client calls from a dedicated space at home, the home-office deduction may apply even if your grooming happens at the shop. The space has to be used regularly and exclusively for business. The simplified method ($5 per square foot up to 300 sq ft) is the least painful way to claim it.

Shop rent, utilities, internet, and the share of your phone bill used for business are all ordinary deductible expenses. Keep the lease and the bills.

Software, subscriptions, and processing fees

Your management platform, booking system, accounting software, and any paid apps are fully deductible business expenses. So are your payment-processing fees — every percentage point Stripe or your processor skims off a transaction is a deductible cost of doing business, and it adds up to real money over a year. Most owners never total it.

This is one more reason predictable software pricing matters: when your platform is a known $69, $109, or $169 line item instead of a per-user, per-location bill that drifts every month, your bookkeeping is cleaner and your deductible total is obvious at a glance.

Payroll, contractors, and benefits

Wages, payroll taxes you pay as the employer, commissions, and tips you process are deductible. So are payments to 1099 contractors — but you must issue the right forms, and misclassifying a regular groomer as a contractor is one of the most common (and expensive) audit triggers in this industry. If someone works set hours on your equipment under your direction, they are very likely an employee.

Built-in payroll that tracks tips and commissions and produces clean year-end totals saves you both the deduction and the audit headache.

Equipment depreciation and Section 179

Big purchases — a hydraulic table, a commercial dryer, kennels, a grooming van — are assets, not consumables. Normally you depreciate them over several years, but Section 179 and bonus depreciation often let you deduct the full cost in year one. For a profitable shop buying a major piece of equipment, that can be a large same-year deduction. Time these purchases with your CPA before December 31.

The records your software should already keep

The reason owners miss deductions is almost never greed — it is missing records. The whole problem disappears when your operating system is already logging revenue by service, processing fees per transaction, payroll with tips and commissions, and expenses by category. At tax time you export a clean report instead of rebuilding the year from memory.

That is the practical case for running your shop on one system: it is not just scheduling, it is the financial paper trail that turns a stressful April into a 20-minute export.

Common questions

Can I deduct grooming supplies I bought with cash?
Yes, if they were genuinely for the business and you can substantiate them. The catch is substantiation — without a record, the deduction is hard to defend. Run purchases through a business account and let your software categorize them so nothing gets lost.
Is my pet care software a tax deduction?
Yes. Software subscriptions used to run the business are ordinary, deductible operating expenses, as are your payment-processing fees. Flat, predictable pricing also makes the deductible total trivial to total at year end.
Should I use mileage or actual vehicle expenses?
Most fixed-location salon owners come out ahead with the standard mileage rate because it is simpler. Mobile groomers with a built-out van often do better claiming actual expenses including depreciation. Run both with your CPA the first year.
Is this tax advice?
No — this is general education for pet care operators. Tax rules change and your situation is specific. Confirm anything here with a CPA before you file.
